Electronic Filling

Electronic Filing and Digital Archiving Policy

1. Policy Statement

Borneo Humaniora is committed to maintaining the secure storage, preservation, integrity, and long-term accessibility of its scholarly publications and essential editorial records. The journal uses an electronic journal management and publishing system to manage manuscript submissions, peer review, editorial decisions, publication files, and related metadata.

This policy establishes the principles and procedures for electronic filing, digital archiving, and preservation of the journal's scholarly content to support accountability, continuity of publication, and the integrity of the scholarly record.

2. Electronic Filing of Manuscripts and Editorial Records

Borneo Humaniora manages its editorial workflow electronically through its Open Journal Systems (OJS) platform. Electronic records may include:

  • Manuscripts submitted by authors and their associated supplementary files.

  • Author information and submission metadata.

  • Peer review reports and reviewer recommendations.

  • Editorial correspondence, decisions, and revision records.

  • Final accepted manuscripts and published article files.

  • Issue information, publication metadata, and related editorial documentation.

Access to confidential submission and review records is restricted to authorized users according to their editorial roles and responsibilities. These records must be handled confidentially and used only for legitimate editorial, publication, and journal-management purposes.

Editorial records are retained as necessary for publication management, research-integrity inquiries, and applicable institutional or legal requirements.

3. Digital Archiving and Preservation

Borneo Humaniora identifies the LOCKSS (Lots of Copies Keep Stuff Safe) system as part of its digital archiving policy. LOCKSS supports a distributed preservation model in which participating libraries can preserve copies of journal content and support its restoration when necessary.

The journal's electronic archiving policy aims to:

  1. Preserve published articles and issue records for long-term access.

  2. Maintain the integrity and authenticity of published content.

  3. Reduce the risk of permanent content loss caused by technical failures or other disruptions.

  4. Support the recovery and continued availability of archived content.

  5. Maintain accurate bibliographic metadata to facilitate discovery, identification, and citation of published research.

The implementation and operational status of digital preservation services are subject to the journal's technical configuration and the applicable service arrangements.

4. Electronic Backup and Data Security

The journal and its publisher should maintain appropriate backup and recovery procedures for the OJS database, published article files, and essential editorial records.

Backup arrangements should be designed to reduce the risk of data loss resulting from server failure, accidental deletion, unauthorized access, or other technical incidents. Where feasible, backup copies should be maintained separately from the primary production environment.

Access controls and appropriate security measures should be used to protect editorial records, unpublished manuscripts, reviewer identities, and personal information.

Backup and recovery procedures should be reviewed periodically by the responsible technical or institutional personnel.

5. Preservation of Published Content

Published articles and issue records are intended to remain accessible through the journal's online platform. The journal seeks to maintain stable access to article files and bibliographic metadata throughout the publication lifecycle.

If the journal experiences a platform migration, technical disruption, or change in its publishing arrangements, the publisher and journal management should take reasonable steps to preserve existing publications and maintain access to the scholarly record.

Where corrections, retractions, or other publication notices are necessary, the journal will handle them in accordance with its publication ethics policies. Such actions should preserve transparency and appropriate links to the original publication record.

6. Author Self-Archiving

Borneo Humaniora supports the dissemination of published research through appropriate scholarly channels, subject to the journal's copyright and licensing policies.

Authors may deposit and share their published articles in institutional repositories, personal websites, or other appropriate academic platforms in accordance with the applicable license and publication terms. Authors should acknowledge the original publication in Borneo Humaniora and include the article's DOI or permanent URL when available.

Any sharing of submitted or accepted manuscript versions must comply with the journal's applicable policies and agreements.

7. Responsibility and Policy Review

The publisher and journal management are responsible for overseeing the implementation of this policy, while technical personnel may provide support for platform maintenance, backups, and data recovery.

This policy may be reviewed periodically to reflect changes in publishing technology, preservation standards, institutional requirements, and the journal's operational arrangements.
